How early should we send our request?
For international conferences of 500+ delegates, 12–18 months is comfortable and lets us secure the right venue and hotel block. We've turned 200–400 pax corporate summits in 4–6 months when the dates were flexible.
Which Stockholm venues do you typically use?
Depends on footprint and brand fit. Stockholmsmässan and Scandinavian XPO for exhibition-heavy conferences, Waterfront congress centre for plenary-led conferences, and royal halls for the gala night.
Do you handle sponsorship and exhibition sales?
Yes — sponsorship strategy, prospectus, sales outreach, contracting and on-site exhibition management. Either as a fixed-fee mandate or as a revenue-share model.
How is this different from your DMC or corporate-events service?
Conference planning is the multi-track, registered-delegate slice of our work. If your event is single-stage and corporate-branded, our corporate events service is the closer fit. If you need a destination-led incentive arc around your conference, we'll combine the two.
Is insurance included in your services?
Insurance is not included as part of our standard services or event arrangements. We recommend that all clients and participants have appropriate travel and/or corporate insurance coverage in place before travelling or attending an event. Should additional insurance be required for your programme, we would be happy to assist in arranging suitable coverage through our trusted partners. As part of our quality and risk management procedures, we ensure that all suppliers and partners involved in your programme hold the necessary insurance policies, licenses, and permits required to deliver their services and activities.
